1. Introduction

This Privacy Policy explains how Radisphere ("Radisphere", "we", "us", "our") collects, uses, discloses and protects information when diagnostic centres, hospitals, clinics, referring doctors and patients ("you") use our website, portal and reporting services (together, the "Services").

By using the Services, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Services.

2. Data we collect

We collect the following categories of information:

  • Patient case data — diagnostic images (e.g. X-ray, CT, USG, EEG files), ECG/PFT/NCV recordings, and associated clinical details (age, sex, referring clinician, clinical history) submitted by a diagnostic centre for reporting.
  • Business/account data — business name, contact person, phone number, email address, city, state and any message submitted through our contact or demo-booking forms, and account credentials for the reporting portal.
  • Technical data — IP address, browser type, device information, pages visited and cookies (see Section 9).
  • Payment data — billing details necessary to process payments for reporting services, handled via our payment processor (we do not store full card details on our own servers).
Note: Diagnostic centres are responsible for obtaining valid patient consent before submitting patient data to Radisphere for reporting.

3. How we collect it

We collect information when you fill in a form on our website, register for or use the reporting portal, upload a case, communicate with us by phone, email or WhatsApp, or simply browse our website (via cookies and similar technologies).

4. Why we collect it

We use collected information to:

  • Provide, operate and maintain the teleradiology reporting service, including routing cases to radiologists and delivering completed reports.
  • Communicate with you about your account, cases, billing and support requests.
  • Improve platform performance, reliability and reporting quality.
  • Meet legal, regulatory and audit obligations.
  • Send service updates and, where you have opted in, marketing communications.

5. Sharing and disclosure

We share information only as necessary to provide the Services:

  • With the radiologists, cardiologists, neurologists or other specialists assigned to report on a submitted case.
  • With cloud hosting and infrastructure providers who store and process data on our behalf, under confidentiality obligations.
  • With payment processors, solely to complete billing transactions.
  • With regulators, law enforcement or courts where disclosure is required by law.

We do not sell patient or business data to third parties.

6. Data security

We apply technical and organizational safeguards designed to protect data against unauthorized access, alteration, disclosure or destruction, including SSL/TLS encryption for data in transit, access-controlled storage, digitally signed reports and an audit trail for case-level actions. No system is completely secure, and we cannot guarantee absolute security, but we work to keep these safeguards current.

7. Data retention

We retain case data and reports for one month from the date of report generation, unless a longer retention period is required by applicable law or agreed separately. Account and business contact data is retained for as long as your account remains active, plus a reasonable period thereafter for legal and accounting purposes.

8. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, or withdraw consent for its processing where consent is the basis for that processing. 9. Cookies

Our website uses cookies and similar technologies to keep you signed in, remember preferences, and understand how the site is used (analytics). You can control or disable cookies through your browser settings; disabling some cookies may affect site functionality.

10. Children's data

Our Services are intended for use by diagnostic centres, hospitals, clinics and healthcare professionals, not directly by children. Where a submitted case relates to a minor patient, the submitting centre is responsible for ensuring that a parent or legal guardian has provided any consent required by law for that patient's data to be processed.

11. Third-party links

Our website may link to third-party services such as WhatsApp or social media platforms. We are not responsible for the privacy practices of those third parties; please review their own privacy policies.

12. International data transfer

All patient and business data submitted through the Services is hosted exclusively on servers located within India. No patient data is transferred or processed outside India.

13. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated through the website or directly to registered account holders where appropriate.
